Straight answers to what clients ask before an engagement starts.
Three things make a process a good candidate: it happens often, it follows rules that can be stated, and the cost of an occasional error is manageable or catchable by review. Processes that are rare, highly judgement-based, or where a wrong answer is unrecoverable are usually better left with people. The assessment exists to answer this honestly, including when the answer is that the automation would not pay for itself.
We design for it, because it will happen. Wherever a wrong output would matter, the system routes to a human for review rather than acting autonomously. Chatbots hand over to a person when confidence is low instead of guessing. Every automated decision is logged so it can be audited after the fact. A system that cannot explain what it did cannot be debugged when it matters.
That is agreed in writing before we build anything, and it drives the architecture. Depending on your requirements we use providers with contractual commitments against training on your data, or run open-weight models inside your own infrastructure so nothing leaves it. If you have data residency obligations, tell us at the start — it changes the design, and it is far cheaper to know up front.
Unlike traditional software, AI running costs scale with usage, so we model them during the pilot using your real volumes rather than estimating. You get a projected monthly cost at realistic and at high volume before committing to a full build, and we monitor actual usage in production so growth is visible rather than arriving on an invoice.
Usually, yes — and it is often the better option. If your CRM, portal or internal tool exposes an API, we can add capability to it without replacing it. Where a system is closed, we work around it with integration at the data layer. We will tell you when a system genuinely cannot be extended rather than proposing an expensive replacement you did not ask for.
